Send Pump Transactions to Samsara

Samsara has a fuel purchases report (https://kb.samsara.com/hc/en-us/articles/360043272731-Fuel-Purchases-Report) that allows you to verify that fuel purchases correspond to a vehicle’s position at the reported fuel site. 

 

Send Pump Transaction Frequency Settings

The setting to change the pump transaction sending frequency is located at Integrations > Fleet Management 

 

Automatically:

Pump transactions are sent to Samsara automatically on the 1st of every month

 

Manually: 

Manually click the Send transactions button to send Pump transactions whenever you chose

Note: Last Sent will reflect the last time FuelCloud sent Pump transactions to Samsara Automatically or Manually.

 

Send Pump Transaction Vehicle Settings

All pumping transactions will be sent for vehicles with the Send Pump Transactions to Samsara setting turned On. 

  • This includes transactions added on the web portal

 

Send Pump Transaction During Initial Set Up

After drivers and vehicles have been mapped between platforms, there is an option to send the last 90 days of pump transactions to Samsara. 

  • Pump transactions will be sent for vehicles that were just mapped
  • This is a one time action for sending transactions that occurred before starting the integration
  • If transactions are edited on FuelCloud after they have been sent to Samsara, the edits will not be reflected on Samsara so if you need to reconcile or make adjustments, make those changes before completing configuration.

Notes:

  • FuelCloud checks the current setting of the vehicle at the time the transactions are sent (manual or automatic) not the setting at the time the transaction occurred. Only transactions associated with vehicles that have Send Pump Transactions to Samsara turned ON at that moment will be pushed to Samsara.
  • Samsara only allows 100 transactions to be sent per minute. If you have a lot of transactions  it may take several hours for all transactions to be sent depending on the server demand.
  • Samsara settings or Samsara IDs cannot be changed while transactions are being sent to ensure data consistency. Once all transactions have been sent, you will be able to update driver and vehicle settings.
  • Automatic pump transactions are sent at 13:00 UTC on the 1st day of each month
  • In-progress or offline transactions will not be sent to Samsara until they have been completed and sent to the server.
  • After reconnecting to Samsara after resolving a failed payment or a lost connection, FuelCloud will wait to push all pump transactions until the next scheduled automatic push or until transactions are manually pushed.
  • FuelCloud displays Price and Cost with 4 decimal places. In Samsara, Price and Cost are displayed with 2 decimal places. When transactions are sent to Samsara, Price is rounded which may lead to small discrepancies between systems when viewing Price and Net Cost.
